Kingsbridge Terms & Conditions



Account applications are available and subject to a credit check before granting of a credit account facility.

Account customers will be invoiced at the completion of each agreed period either 14 or 30 days. Payment is required within the agreed time from date of invoice. Failure to finalise the account may result in a withdrawal of account facilities and transport services.

Non-account customers: Non-account customers may be asked to provide a deposit of up to 50% of the value of the quoted price and full payment must be made within 7 days of the completion of the service provided. In some circumstances we may ask for your credit card details as security for your booking, until full payment has been received.


Animals (unless registered guide dogs with which prior warning would be desired), shall not travel without written permission from KCS (Surrey) Ltd.

Airport & Cruise Liner Pick Up:

Should you be unable to locate your driver upon arrival please contact airport / cruise information desk and ask the driver to be paged or alternatively please contact the office number. Should you fail to contact the office prior to leaving the area a cancellation fee maybe made incurred.

45 minutes of free waiting at an airport pickup is included in the quoted price. All additional waiting time is to be charged according to the agreed rate.


Should the chauffeur be required to travel and spend overnight in accommodation the costs will be subject to an accommodation and subsistence allowance according to the quotation.


Bookings will be accepted via phone, email or online web booking. On our acceptance of booking a booking reference number will be issued, verbally or electronically. For all correspondence regarding the booking please quote the booking number. KCS (Surrey) Ltd will accept the booking with the understanding that the hirer fully accepts and agrees to the terms and conditions herein.

  1. Vehicles for 9 passengers and less: Cancellations in writing within 24 hours of scheduled pick-up time will not incur charges. Cancellations within 12 hours of scheduled pick-up time will incur a cancellation fee of 50% and cancellations within 6 hours of booking time a will incur a cancellation fee of 100%. No-shows & Cancellations on arrival will be charged at the agreed booking rate and waiting time and parking at cost, if so incurred.
  2. Buses and Coaches: Cancellations within 72 hours of scheduled pick-up time will incur a cancellation fee of 100%.
  3. Bookings of more than five vehicles: Cancellations will be specific to the quotation.

By law small children require additional appropriate restraints. We neither provide nor assist in the fitting of child seats or restraints. It is the passengers’ entire responsibility to make sure any children in his/her care are properly secured. Please advise the booking office when children are travelling.

Complaints/refund procedure:

In the unlikely event that you should have cause for complaint, any complaint must be made in writing within 7 days. Our investigation will determine validity and if necessary, an independent assessment will be commissioned.

If it is found that we have been at fault in not supplying the service that you have asked us to provide, then a refund may be applicable. All refunds will be made on an individual basis and any refund will be made appropriate to the nature of the complaint.

Credit Card Payments:

When a booking is made we may charge the card with half the quoted price. Should you cancel at any time this will be forfeited. We will charge the remainder immediately following the completion of the journey. Should any extra charge be incurred we will notify you before charging. Please note all credit card payments will incur a 5% surcharge.

Departure times Departure and journey times may be suggested after making allowances for the day of travel and traffic conditions at these times. KCS (Surrey) Ltd will not be responsible for clients insistence for any variation to the recommended times or delay to agreed departure time, which may result in missed flights, connections or meetings or any other loss.

Any delay during a journey caused by the passenger is solely their own responsibility. The chauffeur must not be asked to speed or drive recklessly to make up time.

Disorderly behaviour:

The chauffeur reserves the right to refuse any passenger/s that are deemed to be under influence of alcohol or drugs and that maybe deemed to be a danger or nuisance to property, passengers or other persons. No refund or compensation will be made under these circumstances. The company may request the assistance of the police to remove the offenders to protect the chauffeurs, passengers or property.

Food or drink:

Our chauffeurs have the right to refuse passengers from eating or drinking in the vehicle other than the mineral water provided.  Should any damage occur as a result of the passenger’s actions to a vehicle or property, the full costs of repair and loss of income will be invoiced. In the event of sickness in the vehicle the cost of cleaning and loss of income will be invoiced.


Tipping or gratuities are purely at the passenger’s discretion and may be paid directly to the driver on the day. If you wish to have the gratuity as part of the tax invoice, please advise the booking office prior to the journey taking place.


Our company, vehicles and chauffeurs are fully insured for passenger or third party claims under British law however property is carried at the passengers own risk. The company will not be held responsible for loss or damage to property.


Every effort will be made to get you to your destination on time. KCS (Surrey) Ltd is not liable for any loss due to delays caused by traffic jams, road works, road closures, diversions, extreme weather conditions, collisions caused by other parties or terrorist attacks on the journey. KCS (Surrey) Ltd may cancel all services and may refund in the event of circumstances beyond our control.


All vehicles and chauffeurs are fully insured. They are licensed by the Public Carriage Office (PCO) London. Our operator license for minivans and sedans is 04166. For any issues regarding the licence, operator and or driver in the first instance please contact this office or alternatively please contact the Transport for London – Taxi & Private Hire https://tfl.gov.uk/info-for/taxis-and-private-hire/contact-tph.

Our operator license for coaches is PK 1101729.

Lost Property:

Our Chauffeurs will check for any items left by their passengers. Any items left by a passenger and missed by our driver will be returned to the office. The items will be logged and secured in accordance with PCO regulations. After 30 days should the items not be collected or relevant owners traced all items will be passed onto the police. The owner of the property will be notified, where possible and returned to a location of your choice however we may recover reasonable costs for doing so.


Please be aware that we cannot guarantee to carry the entire luggage should you exceed the recommended capacity as agreed when the booking is accepted. Please notify us to make prior arrangements to carry excess luggage at the time of booking.

Mobile / Cellular Phones:

All our vehicles carry mobile phones and hands free apparatus. Clients may use this facility providing it is safe to do so. UK calls will be charged at £0.01 per minute and international calls at £2.00 per minute.

Minimum Hire period:

Minimum hire period will be 3 hours for non-airport transfers.

No Show & Cancellations on Arrival:

No shows & Cancellations on arrival will be charged at the agreed booking rate and waiting time and parking at cost, if so incurred.

Parking and other Laws:

We reserve the right to refuse to wait in un-designated areas or where a fine could be imposed. In circumstances where the chauffeur is requested to wait in one of these areas, then the hirer of the vehicle will be completely responsible for any parking fines incurred.

All our chauffeurs abide by the current laws and regulations governing speed restrictions and will not break these. All parking and toll fees will chargeable to the customer.

All passengers are required by law to use seat belts provided. Our chauffeurs will not commence the journey until all legal requirements are being complied with.


Payment may be made via credit card (5% surcharge), cash and cheque. Cash and cheque payment methods are subject to prior advisement and approval by KCS (Surrey) Ltd.

For Account customers, journeys will be invoiced at the completion of agreed period. Payment is required within agreed terms of the account. Failure to finalise the account may result in a withdrawal of account facilities and transport services.

Privacy Policy:

KCS (Surrey) Ltd is subject to the legal requirements of the Data Protection Act (1998) and protects all of your information held on our systems in accordance with all legal requirements.


Quotations can be verbal or written and will be based on information supplied by the client. The quote will be considered as binding by KCS (Surrey) Ltd subject to these terms and will be valid for 30 days.

All quotations will have a unique quotation number. Please use this number in all correspondence. Any charge for services will be confirmed with the customer either verbally or in writing prior to the relevant journey taking place.


All payments for services and vehicles with 9 seats and less are subject to a VAT of 20% which will itemised on your invoice. Any service provided with a vehicle of more than 9 seats is not subject to VAT.

Waiting Time:

Other than airport and cruise terminal meet & greet transfers, where 45 minutes free waiting time is included, normal waiting time will be added from 15 minutes after original booking time and charged as per the quotation.

Replacement vehicle:

In the instance of last minute mechanical breakdown, exceptional traffic difficulties, incidents, accidents or any events beyond our control, we will endeavour to supply another vehicle from our extensive range of fleet vehicles and contact base.


Our Chauffeurs will choose a route using their experience & knowledge of local conditions. They will be happy to accept an alternative route as requested by his passenger, however should this result in extra miles or time; an extra charge may be levied.

When operating in a busy city such as London, even with the best planning, unforeseen circumstances may occur. We will not accept responsibility for any late arrivals, delays or consequential losses incurred by exceptional traffic difficulties, unpredictable incidents, accidents, mechanical breakdown or events beyond our control.


The company operates a strictly no smoking policy in all vehicles. This includes vaping and all forms of electronic smoking.


KCS (Surrey) Ltd reserve the right to use subcontract chauffeurs when needed, however all services will be provided as per these terms and conditions.


An additional surcharge will be added to all bookings for services provided on Bank or Public Holidays of 20% and 100% on Christmas day.

Parking, Toll Charges and congestion zone charges (except Central London) and porterage or freight costs, will be charged if incurred. All out of hours bookings i.e. from 0001 hrs to 0600hrs will incur an additional 20% surcharge. Credit card payments will incur a 5% surcharge.
